Backpacker Treks and Expedition is an authorized government registered Travel agency in Nepal. Backpacker Treks knows the value of our guests' investment in travelling. Please read our Terms and conditions carefully before than booking your Trip with us!

Booking conditions:

For Trekking in Nepal you need to provide us a photocopy of your passport and 30% of trek cost as the deposit to guarantee booking your journey with us. The deposit amount is nonrefundable.The due amount could be paid when your arrival in Kathmandu earlier than you set out for your trek. We reserve our right to cancel your experience in case you could not make your price inside our stipulated time.

Please note: that we are not liable of any delay or loss during the transfer process. If in case due to use of mediator bank or any other reasons if the money received by us is less than the amount sent, you are requested upon arrival to pay accordingly so that the total is equivalent to the Trip cost.

E-mail us the bank reference number or remittance slips after you initiate the transfer. Sometimes bank forwards the money with different name; if we have reference number/remittance slips and sander details, it will be easy for us to check.

3. FINAL PAYMENT/ACCEPTANCE OF BOOKING/CLIENT DETAILS:

(a) Nepal Trips

Final payment on trekking, tours, climbing, expedition or any kind of trips in Nepal can be made upon arrival in Nepal. Final payment can be made by bank transfer, cash or by Credit Card (Visa or MasterCard). There is 4% surcharge when the payment is made by cards (this applies to all payments; deposits, final balances, trip extension and miscellaneous purchases.)

(b) India/Tibet/ Bhutan Trips:

Regarding trips in India, Tibet, Bhutan; final payment should be made 45 days prior to the trip start date.

 

4. CANCELLATION BY THE CLIENT:

Any cancellation by a Client must be made in writing and acknowledged by Backpacker Treks. The date on which the request to cancel is received by Backpacker Treks or its Agents will determine the cancellation charge applicable.

The cancellation charges are expressed hereafter as a percentage of the total tour price

Cancellation 60 days or more before departure: 30% of total trip cost.

Cancellation 59-30 days before departure: 50% of cost of services booked.

Cancellation less than 30 days before departure: 100% of cost of services booked.

The Client is strongly advised to take out cancellation insurance at the time of making the booking.

Please note that no refunds will be made if you voluntarily leave a trip for any reason after the trip has begun. No refunds will be made for any accommodation, transport, sightseeing, meals or services not utilized.

 

5. CANCELLATION OF A TOUR BY THE COMPANY:

Backpacker Treks reserves the right to cancel any trip you booked unless guaranteed to run.

Backpacker Treks & Expedition privet Limited  reserves the right to cancel any trip, including a guaranteed trip, prior to departure due to reasons beyond its control (i.e. due to natural disasters, flight cancellation, consequences of strikes, industrial action, wars, riots, sickness, quarantine, government intervention, weather conditions, or other untoward occurrences. In such a case, Backpacker Treks will refund the trip price only. If Backpacker Treks cancels a departure which is guaranteed to run, we will refund the trip price, or you are entitled to take an alternative trip of the same value.

Please also note that significant alterations do not include a change of airline carrier, flight time tables or itineraries provided the departure and arrival dates remain unchanged, the substitution of a vessel, modification of itineraries, and change in cabin category or hotel accommodation provided it is of the same category.

Backpacker Treks is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable flights or rail, non refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.

 

6. MEDICAL CONDITIONS AND SPECIAL REQUIREMENTS:

Backpacker Treks must be notified in writing at the time of booking of any medical conditions, physically challenged conditions or any other mental and or physical condition which may affect fitness to travel and or any medical condition. Failure to notify Backpacker Treks may result in the client being refused travel. Failure to notify Backpacker Treks of any such condition that results in cancellation will result in 100% cancellation fees to the Client.

Some trips may be unsuitable for Clients due to age, mobility, pregnancy or physical or mental conditions. It is the Client's responsibility to check prior to booking. BT is not required to provide any special facilities unless it has agreed to do so in writing. Backpacker Treks will do its best to meet Clients special requests including dietary, but such requests do not form part of the Contract and therefore BT is not liable for not providing these requests.

Medical facilities vary from country to country and BT makes no representations and gives no warranties in relation to the standard of such treatment.

 

7. TRAVEL INSURANCE:

Adequate and valid travel insurance is compulsory for all travelers. Your travel insurance must cover accidents, injury, illness and death medical expenses, including any related to pre-existing medical conditions, emergency repatriation (including helicopter rescue and air ambulance where applicable) and personal liability. BT also recommends it covers trip cancellation, curtailment and loss of luggage and personal effects. You must carry proof of insurance with you and produce it if reasonably requested by BT employees or suppliers. BT reserves the right to cancel or suspend your participation on a trip or in certain activities that comprise part of a trip, at any time, including after the commencement of your trip, with no right of refund, if you are unable to provide proof of insurance when requested.

 

8. INSURANCE:
Personal travel insurance is not included in the tour price. It is a condition of booking a tour with BT, and your responsibility to ensure that you are adequately insured for the full duration of the tour in respect of illness, injury, death, loss of baggage and personal items and cancellation and curtailment. You must provide evidence to BT that you have obtained personal travel insurance. You must ensure that your personal travel insurance covers all of the activities you expect to participate in. Hence, we advise the clients to take adequate insurance packages, including medical emergencies and evacuation by Helicopter.

 

9. SERVICES MISSED OR UNUSED:

There will be no discounts or monies refunded for missed or unused services, this includes voluntary or involuntary termination/departure from tour, i.e. sickness, death of a family member etc, late arrival on the tour, or premature departure either voluntarily or involuntarily.

 

10. UNEXPECTED 
If BT is prevented (directly or indirectly) from performing any of its obligations under this agreement by reason of act of God, strikes, trade disputes, fire, breakdowns, interruption of transport, government or political action, acts of war or terrorism, acts or omissions of a third party or for any other cause whatsoever outside BT reasonable control, BT will be under no liability whatsoever to you and may, at its option, by written notice to you either cancel the tour or take any other action as specified in condition. 

 

11. PRIVACY
you permit BT to collect personal information from you, or from your medical practitioner, regarding your health and medical condition. You acknowledge that this personal information may be disclosed to BT representatives in order to ensure your safety and well being but will not be used by them for any other purpose.

12. VISA FEES

Gratis visa for 30 days available only for tourists of SAARC countries (except Afghanistan)

Multiple entry 15 days - US$ 25 or equivalent convertible currency

Multiple entry 30 days - US$ 40 or equivalent convertible currency

Multiple entry 90 days - US$ 100 or equivalent convertible currency

 

Tourist Visa Extension

* Visa extension fee for 15 days or less is US $ 30 or equivalent convertible currency and visa extension fee for more than 15 days is US$ 2 per day

* Tourist visa can be extended for a maximum period of 150 days in a single visa year (January – December).

 

13. EXCLUSIONS FROM TOUR PRICE 
Without limitation, the following items are excluded from the tour price:

o. personal travel insurance;
o. visa, passport and vaccination charges;
o. departure, airport and airline taxes and on some tours internal domestic flights;
o. extra meals, transport costs, accommodation costs, or other expenses not included in the itinerary; laundry, postage, personal clothing, medical expenses & items of a personal nature; emergency evacuation and/or emergency search charges;
o. Optional tours or activities
o. additional expenses caused by delay, accidents or disruption of planned itineraries;
o. tips, onboard beverages and excess baggage charges

 

14. SEVERANCE OF CONDITIONS
If any part of a condition is illegal, unenforceable or invalid, it is to be treated as removed from the conditions; however, the remainder of the conditions are not altered.
